LTB Ready ("we", "us", or "our") operates a web-based document preparation service for Ontario Landlord and Tenant Board forms. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you access or use our website and services (collectively, the "Service"). By using the Service, you consent to the practices described in this policy.
1. Information We Collect
We collect the following categories of personal information:
a) Account Information
When you create an account, we collect your name and email address through our authentication provider, Clerk. If you sign up using a third-party provider (such as Google), we receive only the name and email associated with that account.
b) Form and Case Data
When you use the Service to prepare LTB forms (such as N4, L1, T2, T6, N12, L2, and N5), you provide information including landlord and tenant names, addresses, rental unit details, tenancy terms, rent amounts, arrears calculations, and descriptions of disputes. This data is stored in order to generate your documents and allow you to manage your cases.
c) Evidence Files
If you use our Evidence Builder feature (available on the Pro plan), you may upload documents, photos, and other files as supporting evidence. These files are stored in our database and associated with your case.
d) Payment Information
If you purchase a form or document bundle, your payment is processed by Stripe as a one-time transaction. We do not store your credit card number, bank account details, or other payment credentials on our servers. Stripe provides us with limited information such as the last four digits of your card, your billing email, and payment status.
e) Usage and Technical Data
We automatically collect certain technical information when you use the Service, including your IP address, browser type, operating system, referring URLs, pages visited, and timestamps. This data is used to maintain and improve the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Generate LTB forms and PDF documents based on your input
- Manage your account, cases, properties, and subscription
- Process payments and manage billing through Stripe
- Send transactional emails such as form confirmations, deadline reminders, and account notifications
- Respond to your inquiries and provide customer support
- Monitor and analyze usage trends to improve the Service
- Detect, prevent, and address technical issues or security threats
- Comply with legal obligations
3. How We Store and Protect Your Data
Your data is stored in a PostgreSQL database managed through Prisma ORM and hosted on secure infrastructure. Data is encrypted at rest and in transit using industry-standard TLS encryption. Evidence files are stored within our database. We implement reasonable administrative, technical, and physical safeguards to protect your information against unauthorized access, alteration, disclosure, or destruction. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.
4. Cookies and Tracking
We use cookies that are strictly necessary for the operation of the Service. Clerk, our authentication provider, sets session cookies to keep you signed in. We do not use third-party advertising or analytics tracking cookies. We do not sell your data to advertisers or data brokers.
5. Third-Party Services
We share your information with the following third-party service providers, solely for the purposes described below:
- Clerk — Authentication and account management. Clerk processes your name, email address, and login credentials.
- Stripe — Payment processing. Stripe processes your payment method and billing information in accordance with their privacy policy.
- Resend — Transactional email delivery. Resend receives your email address and message content for emails we send you (such as deadline reminders).
- Vercel — Hosting and infrastructure. Vercel hosts the Service and may process technical data such as IP addresses and request logs.
Each of these providers maintains their own privacy policies and data handling practices. We encourage you to review their policies.
6. Data Retention and Deletion
We retain your personal information and form data for as long as your account is active or as needed to provide the Service. You may delete your account at any time through the Settings page. When you delete your account, all of your personal data, cases, form submissions, properties, evidence files, and generated documents are permanently deleted from our systems through a cascading deletion process. We may retain certain anonymized or aggregated data that cannot be used to identify you. We may also retain information as required by law or to resolve disputes.
7. Your Rights
You have the following rights with respect to your personal information:
- Access: You may request a copy of the personal information we hold about you.
- Correction: You may update or correct inaccurate personal information through your account settings or by contacting us.
- Deletion: You may delete your account and all associated data at any time.
- Data Portability: You may request an export of your form data in a machine-readable format.
- Withdrawal of Consent: You may withdraw your consent to our processing of your personal information at any time, subject to legal or contractual restrictions.

8. Canadian Privacy Law (PIPEDA)
LTB Ready is operated from Ontario, Canada. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. Under PIPEDA, you have the right to access your personal information held by us, to challenge its accuracy, and to request its correction or deletion. If you believe we have not handled your personal information appropriately, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada.
9. Children's Privacy
The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly. 10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the "Last updated" date at the top of this page and, where appropriate, by sending you an email notification. Your continued use of the Service after any changes constitutes your acceptance of the updated policy.
